why are our signatures changing?
With the continuous increase of employee size in our company, having a universal email signature will be the most efficient way to handle our email branding. Now that our world has gone more digital than ever, it is increasingly important to ensure that all of our external, client facing materials are consistent and on brand. We are all brand ambassadors of Weigand Construction, and this will help us all stay in compliance without worry.
how/when will they change?
These new email signatures will be administered and handled by the IT department with a software solution called LetsSignIt. For the majority of employees, it will be set up during your Microsoft Intune deployment. This solution will take the burden off of the employee to setup and ensure their signature is in compliance on their own. It will also spread brand awareness by promoting our website and social media accounts, as well as allow for marketing messages and banners to show up from time to time. If you see an additional banner at the bottom of your email signature at any given time throughout the year, please note that this is absolutely normal and nothing to be alarmed or to submit a helpdesk ticket about.
WILL I NOTICE A DIFFERENCE?
Since these email signatures are globally controlled through an external service, you will not see your email signature while composing your email, OR in your sent messages. However, please know that it will still show up when your email gets sent to the recipient. Below is a visual example of how the signature gets added to the email after leaving your Outlook, but before the recipient receives it.
WHAT WILL IT LOOK LIKE TO THE RECIPIENT?
When you send the first email in a thread, the recipient will see a similar version of the following "full" email signature:
When you reply or forward an email, the recipient will see a similar version of the following "reply/forward" email signature:
DO I NEED TO DO ANYTHING WITH MY DEVICES IN ORDER FOR THIS TO WORK?
In most cases, no you don't. This will be set up during your Microsoft Intune deployment for your laptops and iOS devices.
We realize that there is a small group of people who have already had their laptops and iOS devices setup with Intune, and do not have the new signature. In this instance, Cassidy Schalk will be reaching out to you to walk you through the next steps and answer any questions about the process.
MY OLD EMAIL SIGNATURE STILL SHOWS UP ALONG WITH THE NEW ONE, WHAT CAN I DO?
If for some reason your emails are showing a double signature when sending email from your LAPTOP, please follow the steps in this video to remove the old version from your Outlook application:
