Visualizing Events with Superior Show Service By Erin Ockochinski, RGD

Most people have difficulty visualizing things before they are set-up. A 3d rendering or illustration is a representation of an environment that is yet to be built. They provide your audience with a tangible visual of what you see inside of your head. When words and sketches won’t suffice, these images can invest an audience in your project.

Marketing Material for Vendors & Sponsor Proposals

Marketing material is used to get vendors and sponsors to invest their money and time into an event. Visuals enhance marketing material to make the event real in the eyes of the viewers.

Event managers use visuals to help them land sponsors for event spaces. Sponsors and investors want to see the bottom line; they want to be able to believe whole heartedly in a project and know that the event manager will be utilizing their investment. Creating a believable 3d environment by adding graphics, and accessories into the renderings is an investment that shows your prospective sponsors that you have faith in your vision and how they will fit into its future.

Perhaps an event manager would like to include additional furnishings in booth fees but are having trouble getting vendors to buy into upgrades. Renderings show what the spaces will include and what space will remain for vendors to add their showcased products and their own flair. This is an optimal opportunity to get some renderings created to use within the marketing material that you send out. A way to help a vendor visualize their potential exhibit space is to include some products within the space to show how they can attract their desired audience. We have had the opportunity to help out a fashion show manager by including some sample clothing within a booth for their vendors.

Pandemic Environment Event Visuals

I believe that the most used word in 2020 is unprecedented. No one knows what tomorrow will look like with any certainty, but a rendering provides some ideas of what options are available to help the public interact safely. It enables people to see that we as event professionals respect safety measures and recognize that people are hesitant to go out in public. No one wants to be the person who spreads a virus that can seriously harm anyone, and we all want to go home safely at the end of the day.

Where do we go from here? How do we provide business to business and consumer to business interactions in this new environment? What are some ways that we can get our ideas, products, and services visible to people who will benefit from them? We at Superior have put together a concept of what a trade show could look like. Plexiglass is our friend right now and can be used to mitigate contact between people. One-way aisles with plenty of space for passing will help keep everyone at a distance.

Rendering gives us a unique opportunity to see what we can provide to make sure everyone is safe, and prosperous. This is not an insurmountable goal. Together we can use the safety guidelines and create a world where we are still able to work together and prosper while maintaining a distance.

How We Make a 3D Rendering

Renderings start out with a concept, or goal in mind. Marketing material renderings need to look like other marketing material already in place. If all other imagery or content that is in place for the event uses a white backdrop and blue accents, than you would want to make sure that these renderings will fit with your aesthetic. Providing a mock up or previous marketing material will ensure that the renderings do not look out of place or jarring within the design of the existing branding. This is a great time to figure out the dimensions of the image that you might need. Do you plan to expand this image for a billboard or will this image be needed online only? It is important to figure this out at this stage because the rendering can be set to different qualities, but the large-scale billboard images take additional time to render, and it is best to gather this information before your request.

Some thought needs to go into the flow of the exhibit and the amount of people and designated areas within the space. Having an idea of what will be showcased and the purposes for the space will assist in the rendering creation.

After the preliminary requirements are put in place, we create any specialty 3D files of unique pieces that you will be utilizing if we do not carry them inhouse. For this we require a picture or website link to the specifics of the specialty item. We have made digital 3d content for custom giant outdoor games and placeholder pop up exhibits in the past so that the spaces were more accurately shown.

Once the specialty items are made, we set up all of the elements within our 3D software. Everything is made to scale and supplies our staff with a breakdown of the pieces that are needed to create your space. Decals of any signage that you are printing or using is added at this stage. Providing a jpeg of the signs are helpful so that they can be used in the rendering. Each piece of steel and tents have been made to exacting specifications in order to provide an accurate depiction of your proposed exhibit.

After things are put together the rendering process takes place, lighting and materials are rendered to give a real-world feel. This process alone can take a few hours depending on the amount of lighting and size of the space being rendered.

Once the image is created it is taken into photoshop to add in any other items that are needed (like clothing into a fashion exhibit) can be created at this stage. The image is cleaned up and it is ready to go, you now have great marketing and proposal images that you can use to sell to your sponsors and vendors.

Perhaps you need to impress a sponsor for your event or maybe you need to show them that their marketing budget is safe in your hands. Maybe you need to get a loan or have exhibitors and vendors choose your event over a competitor. Or perhaps you need to visualize how this new pandemic environment could make an event look. What ever the need a visual aid will assist in your goals.
