Updating Course Information using Bizagi a leading business process management solution

How to find Bizagi

The Bizagi tile is situated in the top left of the 9 tiles on the SharePoint homepage.

Identify course to change/improve

Click on the homepage tile and log in using your normal windows credentials. Once successfully signed in to Bizagi portal, Depending on your correct role you can initiate the process by clicking on: ‘Request Course Marketing Info’

The first page of the process has two main tabs.

  1. SEARCH COURSE
  2. PROCESS ADUIT TRAIL

From the ‘SEARCH COURSE’ tab choose the Curriculum Area for the course you want to add or approve marketing information.

After selecting Curriculum Area, the system will look for all the Course Instances.

Choose your desired course instance from the second drop down.

The system recognises which Course Instance has not been marketed and selecting one of those will display a warning message. This information is directly synchronized with EBS.

On selection of right Course Instance, system provides additional details information of selected Course under the ‘SELECTED COURSE DETAIL INFORMATION’

Click next to see existing Course Marketing information

Make changes using a previous version as a start point

After selecting the course to update you will navigate to the update page that will contain seven tabs which represent the 7 sections of course information.

On the left hand side will be the existing information or a blank section if no information has currently been added. On the right hand side will be where you can update the new information. If there are no changes, all information on the left can be copy and pasted over to the right hand window.

After all tabs have been completed choose the next button to progress the request.

Request content approval from Curriculum management

Any outstanding approvals will always appear within your portal inbox, they can be easily accessed by clicking on the task title.

For curriculum approvers they will navigate to this page after clicking on their task, there will be option tabs at the top of the page where the approver can see who has submitted the request. A decision is made and after comments are added the request can be progressed using the next button at the bottom.

Comments can be added under each marketing section from the Course marketing detail tab on the approval page if the approver feels the information is not correct, by selecting NO on the approval page these comments will then be sent back to the approver. To speed things up, the approver has the ability to update this information themselves and still progress the request.

Content Review by Marketing

Marketing review is split into two sections.

  1. Content Approval
  2. Presentation Approval

Approval can be by the same or a different person depending on user role

Marketing Reviewer can see who has been involved through-out this process from the ‘PROCESS AUDIT TRAIL’

Selected Course Information under ‘SELECTED COURSE DETAIL’,

And previous approval and their approver comments under ‘’APPROVAL STATUS ON REVISE MARKETING DETAIL’

Provide ‘Content Approval’ status either yes or no. if you choose no, process flow go back to Case initiator.

Second marketing approval is for presentation, again provide status here either yes or no, if you choose no process flow will go to Web Master.

Click save and next.

Process will carry on in loop until marketing approval status on both Content and Presentation are ‘Yes’
