What is Adobe Sign?

Adobe Sign, is a cloud-based e-signature service that lets you replace paper and ink signature processes with fully automated electronic signature workflows. With it, you can easily send, sign, track, and manage signature processes using a browser or mobile device. You can use turnkey integrations and APIs to include e-signature workflows in your enterprise apps and systems of record. (Adobe Sign is a enterprise-class service part of Adobe Document Cloud)

By following a set of simple, prescribed best practices, businesses can create and execute an agreement electronically.

Depending on particular agreement, businesses can use one of three types of legal signatures:

Electronic signature, Digital signatures (Advanced Electronic Signatures), Qualified electronic signatures

The three legal e-signature types supported by Adobe Sign

Electronic signature

This is also called a “simple” electronic signature. This encompasses any electronic process that can be attached to a document to indicate agreement. They can range in their assurance level from simply checking a box to indicate consent to signatures authenticated through mobile passcodes.

Digital signatures (Advanced Electronic Signatures)

Known as “advanced electronic signatures” outside of the U.S., these signatures have a certificate that authenticates the identity of the signer. It’s a similar process to a TSA Precheck, confirming a person is who they say they are. This additional certification can be a hardware or software component, and gives one additional assurance about the identity of the signer.

Qualified electronic signatures (QES)

This newly created signature type is used in Europe where they have the same legal status as a handwritten signature. They’re also the only type of signature that enjoys mutual recognition among all the member states of the EU.

While all deliver the same end result — a legally binding agreement — each has its own unique considerations, with digital and qualified electronic signatures requiring a much steeper technical burden. For example, if your organization wanted to use QES, all parties signing the agreement would have to make a special trip to obtain an authenticating certificate. And once those authentications are in hand, your business is responsible for the IT burden of keeping an entire server of digital certificates valid and updated.

Granted, this level of engagement isn’t always necessary. Most business contracts including employee agreements, new account enrollment, purchase orders, and mortgages only need a simple electronic signature.

Signing process

The signature process as a sender is initiated through the Adobe Sign portal. After logging in with an Adobe ID, you access the shipping and management console.

The signing process can also be initiated from tools such as Sharepoint, Office 365, Salesforce, Sap and other document management platforms, more information below in this document.

Starting sending to recipients:

You start the process by entering the signer email address, you can choose to add it manually or through a list of CSV addresses. You can establish the order of the signers, create groups of receivers, send personalized messages or establish double validation through different platforms (SMS, OTP, social, or password).

Customize email templates

All emails sent from Adobe Sign is generated from an HTML based template that uses some variable fields, customizing each email to the specific agreement and recipients. The large structures, like the page layout, remain static, and only the few variables change (like the agreement name and message), for each agreement that is sent out.

  • Implementing an e-signature solution is a simple way to digitally transform your company, attract new business online, and help customers save time in any enrollment or onboarding process. But for some industries, especially banking and other financial services, e-signatures are a no-go unless they can confidently verify the identity of their customers before providing digital onboarding services.
  • Adobe has solved this problem with the latest release of Adobe Sign that pioneers an industry-first signer identification option called Government ID Authentication, which uses a physical ID, like a driver’s license or passport, as a form of digital ID authentication. When enabled, signers are guided through the simple process of using their mobile phone to snap a photo of a physical ID card. Adobe Sign automatically and comprehensively evaluates the ID card’s security features, like patterns, fonts and layout, to authenticate the identity of the signer and allow them to complete the signature process. This smart new way to authenticate a remote signer takes only seconds, but it delivers a great signer experience, while reducing identity fraud concerns for the company.

Improved Audit Reports

  • Adobe Sign is creating a new official audit report that will only be created at the completion of a signature workflow. “Interim Audit Reports” will be available prior to the official “Final” report. This new report will be rolled out gradually to the lower tier customers with this release and to all enterprise and global customers early in 2019.

Adobe Sign Online Payments

The Online Payment service in Adobe Sign integrates Braintree as a payment gateway tied to the signature process. The integration is enabled by adding a Payment field to your form.

  • Forms can be created with Payment fields based on the following:
  • A static value, as in the case of a quote for service
  • A dynamic value, derived from calculated fields on the form, as in an order form with multiple items, quantities, and shipping methods
  • A recipient entered value, like a donation request
