Let's Get Rolling With SmartPlan from AMERICAN PENSIon benefits

As you know, the success of any retirement plan program is best measured in the ultimate retirement readiness of the plan’s participants. With that goal in mind, APB rolled out vWise SmartPlan to your plan in 2016. SmartPlan is a video based interactive enrollment and education experience completely contained within the plan’s participant website.

As we move forward into 2017, this is now an ideal time to reach out to all employees and have them revisit their personal retirement plan strategy. SmartPlan provides the perfect tool for all employees to perform a quick check up on their retirement plan and provide vital information and guidance to get them on track.

We know that the retirement plan is not typically a high priority for many employees and reaching them can be difficult. It’s even more challenging to inspire them to act. That’s where SmartPlan comes in.

Now is the time to reach out to all employees and have them re-evaluate their investment decisions and participation levels.

How? With a structured employee communication campaign. This is how we, together, can make the campaign successful.

What will a SmartPlan campaign look like?

With SmartPlan, we will begin an initial 5 week email campaign to all employees for which we have email addresses on file. Although we need your help to kick off the campaign, and the campaign appears to be directed from you, we do all the heavy lifting after that and provide you with the results of the campaign.

Here is how we get the campaign rolling!

STEP 1:

CREATING EMPLOYEE AWARENESS OF SMARTPLAN

Send employees a “heads up” email about the campaign.. The campaign, with your permission, will be sending emails to all employees with your name but an email extension that is used to track and monitor the campaign. The email going to participants would be sent from yourname@mail.vresp.com. We recommend that you send an email to all employees from your normal email prior to the campaign informing them to look out for those emails from you.

Also, if you have the ability to whitelist the email above in your systems, chances of your emails ending up as spam can be minimized. If you have an IT staff, you may want to share some of this whitelisting information with them. If you don't have this capability, don't sweat it. We will be monitoring open rates and click rates to make sure we are reaching the audience.

Creating even more awareness with promotional materials

At APB, we have a number of promotional materials all designed to increase employee awareness of Smartplan.

Consider hanging a SmartPlan educational poster in a common work area.

Place Smartplan educational materials in your next payroll or employee communication.

Just let us know what you need, and we will ship it out to you.

STEP 2:

PREPARING THE CAMPAIGN

APB will supply a file to you of all the email addresses that we currently have on file. Take the opportunity to review this and make any additions and changes if needed. Obviously, if we do not have an email address on file for a participant, they cannot receive the campaign.

You will receive an email from APB with a link to the launch tool, SmartConnect.. Simply launch the tool to begin the process. During the process, you will upload the email file and logo. We find it most effective to include your company logo in all the emails to employees. Open rates tend to be much higher when including a logo. This is optional, but if you want to include, have a logo file handy before launching SmartConnect.

STEP 3:

AND WE'RE OFF!

THE CAMPAIGN

A typical campaign is 5 weeks. One email per week. We find that it typically takes that many reminders for the typical participant to take action.

You will receive an email notification that the campaign is ready to begin with a sample of the actual campaign.

On the day before the campaign, and each week of the campaign, you will once again receive a notification.

At the conclusion of the campaign, we will supply campaign statistics and results with you.
