2016 Year In Review Division of Student Affairs Marketing and Communications

OUR PURPOSE

To enhancing the image, reputation and visibility of the Division of Student Affairs.

We achieve this goal by streamlining campus marketing campaigns and collaborating across the division and University to promote student engagement. We help departments achieve their objectives in a timely and creative manner with the highest level of excellence in design and web.

Graphic Design

Throughout 2016 we moved away from text heavy flyers with clip art and basic images and started to design well branded materials that adhered to the University’s Brand Standard. The Design team has responded to over 400 graphic design requests, and have created over 650 pieces of marketing collateral to include but not limited to postcards, posters, vinyl banners, flyers, social media graphics along with digital flyers and signage. Our New Templates

We have also created department templates, that have allowed departments unique branding opportunities within the Division

Web Design

Our Web team has provided design and development support to all departments and offices within the Division. Having responded to over 500 web service requests that range from minor content updates to full scale redesigns of their websites. In 2016 the web team was responsible for the successful redesign and implementation of key websites to include the below.

Other Digital Media

Aside from the managing of day-to-day departmental websites. The web team is also responsible for our Owl Guides App, Fourwinds digital signage, our Student News and other html email listservs along with the governance of our divisions social media footprint.

We have redesigned our Student News, Weekly Updates, and VP Briefing html e-newsletters.
We are responsible for the rollout, marketing and content oversight of the Divisions Owl Guides app, powered by Guidebook. What started out as a Orientation initiative, quickly gained traction and we now have successfully partnered with departments and offices outside of the Division that wanted to include guides within our app.
We purchased the social media content management dashboard Hootsuite which has allowed us to successfully start monitoring our social impressions, and influence. Hootsuite has also allowed us to implement standards and better social media governance.

Digital Signage

We have collaborated with our Divisions Technology team to successfully implement phase one and two of our large scale Fourwinds digital signage project. We now have a single content management dashboard that controls digital displays setup within our Student Union, each Residence Hall and other key high traffic locations across campus. This centralization has also allowed us to collaborate with the Department of Emergency Management to better inform our students when it comes to campus and community related emergencies and alerts.

Photography

We have become more intentional in our photography, ensuring we have quality imagery for our print and digital productions. Photos used in marketing materials are given purposeful thought in regards to what is featured, this means key focus on the primary subject, along with careful consideration for what is in the foreground, middle and background as well. We also took on the task of updating our staff portraits, ensuring that all staff photos have a consistent background for uniformity.

The TrOWLley

The TrOWLley safe ride program was housed in our office and we never looked back. From the design of the actual vehicle wrap to the daily marketing to increase ridership, Student Affairs Marketing and Communications has taken ownership to ensure the success of this project. See below some of the vehicle concepts and marketing efforts.

TrOWLley Marketing

In order to touch our students we met them where they were. Through social media campaigns, scheduling day-time promotional ride arounds and print/digital marketing, we've been able to successfully increase ridership and the best is yet to come. Toward the end of 2016 we purchased a GPS tracking system that is integrated into our FAU Mobile app which will allow students to get real time ETAs and turn-by-turn tracking as to where the TrOWLley is located on and off campus.

Marketing & Assessment

Marketing and Communications has worked closely with the Divisions Assessment team to ensure we are showing the impact of the Division in innovative and unique ways.

Centralized Purchasing

We have begun the process to even better serve our Division through the centralization of print and promotional item purchases. This "we handle, you pay" approach has allowed us to provide the best price quotes to our departments. This process has also allowed us to hold our vendors accountable as it relates to quality and timely turnaround.

Requestors submit their ticket for print and/or promotional items, we shop around for best quotes and quality, send the lowest quotes to the departments for approval, handle the PO/requisition process, communicate directly to the vendor of the departments behalf and ensure final delivery of the items.

Student Affairs Marketing and Communications has completed over 900 marketing service requests. We have collaborated on a number of projects with the Office of University Communications, the Athletics Marketing Office and other University partners.
