"Hello, we're from the library and we're here to help." Improving outreach and course support to faculty.

Background: Brandman University offers undergraduate and graduate degrees and credential and certificate programs. There are 25 campuses and one online campus. Library services are provided by two Chapman University librarians and one library assistant.

Each term, targeted emails are sent to instructors of research-heavy courses to offer library services.

Old system: Excel spreadsheet

  • 11 sections
  • 4 sections updated each term
  • New tab created for each term
  • Difficult to scroll through spreadsheet: classes easily missed
  • Need to update email text each term and copy and paste into email
  • Received multiple requests from instructors for specific class resources

New system: Access database

  • 10 categories
  • 3 categories filled in each term: 2 are drop-down menus
  • Eliminated unnecessary categories
  • Each class has separate card: easy to see each class
  • Mail report button: PDF email automatically generated for each class
  • PDF includes LibGuide and Video links specific to each class
  • Preview report button: Easily create and save PDF report to keep statistics

Future goals: Become more proficient in Access to improve database

  • Select term for one card and apply to all
  • Remove # from links in PDF email
  • Clear all fields to reset for next term
