Reopening Playbook Stanford Recreation and Wellness

The Stanford Recreation and Wellness Reopening Playbook borrows from the Principles and Stages of Recovery section of overall Cardinal Recovery plan. As such, each phase is designed to scale up or down based on the environment and public health context in each particular Cardinal Recovery stage. Information for each stage and phase will be re-examined as new information is acquired and no stages will accelerate beyond county and state recommendations. A supplemental website will old the most up to date information regarding reopening.

The well-being of all patrons and employees is our top priority! Please be advised that current protocols are subject to change at any time due to state or local responses to the global pandemic. Everyone is expected to abide by California, Santa Clara County, San Mateo County, and Stanford University Health mandates.

  • Anyone not feeling well or having any symptoms consistent with COVID-19 or other viral illnesses should not enter or participate in programs at the Recreation and Wellness Center.
  • Anyone asked to social distance should comply with any staff enforcing compliance.
  • All participants entering the Recreation and Wellness Center are required to wear face coverings that stay in place and cover mouth and nose.

Preparing the Building

  • Ensure all building systems are operational. HVAC tuned to appropriate ratios.
  • All necessary supplies/equipment/sanitizers ordered and in place.
  • Tape floor with necessary 6 ft markers, adding stanchions, etc.
  • Close water fountains.
  • Install shields for Member Services Desks.
  • Post required signage from County and Stanford University.
  • Close common areas, break rooms, check-in counters where customers or employees may congregate.
  • Space equipment and work spaces to encourage physical distancing.
  • Remove all cracked upholstery or fix with new upholstery.
  • Prop frequent/commonly used doors open.
  • Disable use of fans in shared use spaces to prevent horizontal air flows.
  • Remove checkout/non-essential shared equipment.
  • Prep outdoor center for social distance rentals.
  • Remove access to maps and library materials.
  • Remove access to couches and chairs.
  • Remove coffee - snack center.
  • Ensure all fitness and office equipment is operational.

Preparing the Staff

General Guidelines

  • Staffing plans are developed and ready to deploy to meet documented requirements.
  • Staff trained in personal and professional hygiene practices.
  • Staff must complete Health Check before coming to work.
  • Staff provided appropriate equipment, including masks.
  • Ensure proper spacing for staff safety at workstations.
  • Confirm Connect-2-Concept sanitizing checklist developed.
  • Education on Virus - refer to CDC website talking points.
  • Stanford requires 10 minute online training and daily online tool called 'Health Check'.
  • How to handly unruly / unknowledgeable participants (not wearing masks, asking them to follow rules, then ask them to leave).

Participant Safety

  • Implement reservation process through Fusion.
  • Walk-ins and guests are not permitted.
  • Masks worn at all times, including when on cardio equipment in the fitness center.
  • Wash hands/sanitizer upon entering and exiting facility.
  • Clean equipment pre and post usage.

Staff Safety

  • 1 staff per location.
  • Please bring your own face covering or wear the one we provide.
  • Wash your hands often on shift and at beginning and end of shift.
  • Contingent and FTEs to cover desk while hand washing.
  • Stick to your station and don’t share tools.
  • Phones (speaker phone “Hello, Rec Services, Lindsay speaking, you’re on speaker”).
  • Radios are individual, not shared, during shift.
  • Tools are sanitized prior to next staff (radio, fanny pack, phone, computer, desk, pens, etc).
  • Avoid touching items from members.
  • Credit card and credit card machine are only handled by participants (not staff).
  • No equipment checkout.
  • No guest passes Stage 1.

Customer Service Questions Related to Closure

  • No guest pass entry until we establish demand for service.
  • No team sports (basketball, volleyball etc) until further notice.
  • When we know the date we will extend all accounts by the date of closure.
  • When we re-open AOERC we will extend Alumni and Hospital memberships and locker rentals by the length of time the facility was closed.
  • There are no refunds for guest passes.
  • Patrons can give guest passes to a friend or co-worker.
  • Process for purchasing membership is unchanged.
  • Lost and found will not be stored or retrieved during this time.

Reopening Aquatics

Reservation Rules

  • All lane reservations MUST be made in advance via our online reservation system (Fusion). Note: Walk-ins & guests are not permitted.
  • Due to limited operating hours, individuals can reserve a recreational aquatic lane a maximum of one time per day.
  • An individual’s assigned lane must be used for one individual at a time and they will be expected to leave their lane at the end of their time block.
  • Cancelations must be made two hours prior to an individual’s reservation.

General Rules

  • Be advised that current protocols are subject to change at any time as necessary to comply with federal, state, and county orders or regulations and university requirements.
  • Everyone must abide by the California, Santa Clara County and Stanford University Health mandates.
  • Anyone having any symptoms consistent with Covid-19 or other viral illness may not be present at the Avery Rec Pool.
  • Anyone asked to socially distance must comply with employee instructions intended to enforce compliance.
  • With the exception of members of the same household, a minimum of 6 feet physical distancing between individuals must be maintained in all areas of the Avery Aquatic Center.
  • Staff and patrons must wear masks at all times inside the facility (excluding swimming activity).

Facility Rules

  • Read and follow all signage and markers around the facility.
  • Swimmers are only allowed to enter the facility 5 minutes before the reservation time.
  • Rental checkout equipment will not be available.
  • No sharing of any equipment.
  • No “person to person contact” (high fives, fist bumps, etc).
  • Sneezing or coughing must be done into one’s inner elbow or into a cloth item, and no spitting is permitted at any time.
  • Members must bring their own water and towel. Drinking fountains will be closed.
  • Congregating on the pool deck, grass area or end of the lane lines is not allowed.
  • No outside food is allowed.

Locker Rooms

  • Patrons must come in dressed and ready to swim. Changing Rooms will be unavailable for use at this time.
  • We encourage swimmers to shower at home before arriving and after leaving the facility.
  • Bathrooms will be available for use on the pool deck level. Capacity will be limited to 2 swimmers at a time in multi-stall bathroom facilities.

Post Swim

  • A “Swim and Go” policy will be in place and strictly enforced.
  • Please remember to take all personal belongings and equipment with you.
  • Congregating around the pool deck or other areas of the facility is not allowed.

Pool Maintenance

  • Pool will be maintained based on the Centers for Disease Control and Prevention industry guidelines.
  • At this time the following areas of the pool will be closed: Picnic tables, Benches, Diving blocks, Lawn area.

Equipment

  • Individuals are permitted to bring their own aquatic equipment for personal use. Equipment must not be shared. Stanford Aquatics will not provide any checkout equipment.

Preparing the Outdoor Center

Days

  • Monday/Tuesday - Gear return 12:00 PM - 5:30 PM
  • Wednesday - Closed for cleaning and restock.
  • Thursday - Gear rental – 12:00 PM - 5:30 PM
  • Friday - Gear Rental - 12:00 PM - 1:30 PM

General Staff and Customer Expectations

  • Everyone is expected to abide by the California, Santa Clara County and Stanford University Health mandates.
  • Anyone not feeling well or having any symptoms consistent with Covid-19 or other viral illness may not utilize the Outdoor Rental Center.
  • Anyone asked to socially distance should be receptive and comply with any staff enforcing.
  • All staff will have taken the COVID-19 Hygiene Best Practices course through Stanford Environmental Health and Safety. Staff will also complete Stanford's Health Check system daily.
  • All staff will wear protective face coverings.
  • All staff and customers will maintain social distancing.
  • Customers will be asked to use hand sanitizer before handling gear or conducting financial transactions.
  • Participants are expected to be courteous and respectful at all times.

Outdoor Center Model

  • Customers may enter Outdoor Center through main entry.
  • Rec Services or Adventure Program will staff front door at the AOERC.
  • Clear marking will direct physical distancing.
  • No more than two rental groups will be allowed inside at any time.

Return of Gear

  • Gear will be collected in bins and cleaned/sanitized according to the cleaning procedures outlined below.

Cleaning Procedures

  • Staff will be provided gloves, eye protection, and face covering as appropriate (for cleaning and collecting of gear).
  • Surfaces and countertops will be wiped down every hour with disinfectant wipes.
  • Phone will be answered via staff personal cell phone through the Jabber app.

Hard Goods

  • Stoves, skis, coolers, paddles, stand up paddle boards, kayaks, snorkel fins and masks will be disinfected upon return with approved antibacterial/antiviral products.

Soft Goods

  • Sleeping Bags and Liners – Will be machine washed with laundry detergent in hot water. Lysol branded disinfecting detergent will be added per manufacturer's recommendation.
  • Tents, Backpacks, and Sleeping Pads – Will be hand washed in soapy water, dried, and removed from rental services for a period of 7 days.
  • Life Jackets and Snorkels – Will be hand washed in soapy water then dipped in 1% bleach solution, rinsed in fresh water, and dried.
  • Wetsuits and spray squirts will not be up for rental during this stage.

Preparing the Climbing Center

Assessment

As with other recreational facilities, the Stanford Climbing Wall presents a relatively high risk for the spread of COVID-19. Contributing risk factors include high-touch surfaces, confined space, heavy utilization, and limited air circulation. Additionally, not all surfaces can be disinfected (ropes, holds, floor mats, the wall itself). Powdered chalk produces particulate in the air, and climbers and belayers are often in close proximity. For these reasons, reopening of the climbing wall requires great care.

The following actions and procedures will be implemented when it is deemed safe to reopen the Stanford Climbing Wall. These recommendations are made with the intention of creating the safest climbing environment possible under COVID-19.

Occupancy & Capacity

  • The maximum capacity of the climbing center will be capped at 8 persons, not including floor supervisor staff (2).
  • Users will pre-register for 60-minute time-slots through Fusion.
  • Sessions will be staggered throughout the day to allow for periods of non occupancy to allow for HVAC systems to clear the air space.
  • Entrance and exit routes will be marked to avoid crowding at doors.
  • Markings will be added to the floor and walls as needed to enforce distancing.
  • Posters with distancing reminders and new gym policies will be posted throughout the facility.
  • Routes will be set to encourage distancing between users: every other top rope only, boulders set in clusters/zones, marked zones with person limit.
  • Floor staff will monitor the climbing wall area to ensure distancing and will remind users to maintain the appropriate spacing as necessary.

Hygiene & Cleaning

  • All users will be required to wear a facial covering during their time climbing at the wall.
  • Hand sanitizer will be provided at multiple locations in the climbing wall to encourage frequent usage.
  • All users will be asked to sanitize their hands while checking in at the front desk and before entering the climbing wall space.
  • No bare feet whatsoever will be permitted in the climbing wall area.
  • Climbing shoes will be provided free of charge.
  • Staff will wear facial coverings and gloves during their shifts.
  • Staff will disinfect high-touch surfaces (front desk, door handles, weights, etc.) hourly.
  • All users must store personal belongings and bags outside of the climbing wall facility.
  • Doors will remain propped during open hours to ensure good air circulation.
  • Chalk-eaters will be utilized to minimize particulate matter in the air.
  • Chalk balls will be encouraged, no communal powdered chalk will be provided.

Reopening Fitness

Fitness Center

  • Capacity is based on current tier.
  • Caution tape will be placed on every second and third cardio machine to enforce spacing.
  • Masks must worn at all times, including when on cardio equipment.
  • All mats will be removed (individual and large mats).
  • Move several pieces of selectorized equipment to current mat areas and TRX area.
  • No “working in” on equipment. Finish sets and require participants to wipe off equipment.
  • Remove several benches and bikes to enforce spacing.
  • Remove 2/3 of small equipment (med ball, kettle bell, body bar, stability ball) to facilitate cleaning and make space.
  • Participants take 2-3 sets of dumbbells to bench, do all sets, wipe and return.
  • Move cardio equipment that does not require power to the basketball courts (take one court offline and use it as a cardio space).

Fitness Studio Facility Adjustments

  • Limit number of people in room.
  • No shared equipment; individuals will have their own stations.
  • Mark social distancing spots within each studio for general class use.
  • Schedule classes farther apart to allow for cleaning of equipment/facility between each class.

Group Fitness Programming Adjustments

  • Instructor props open door before class for participants entering, closes door after class begins.
  • Before each class, distribute wet wipes to participants to ensure they wipe down equipment as needed before starting.
  • Alert building staff supervisor when supplies (wet wipes, spray disinfectant, paper towels) run low.
  • Limit the class size to ensure at least 6 feet between participants.
  • No partner exercises; avoid all contact between participants.
  • Avoid the use of shared equipment during class and limit props/equipment use when possible (i.e. prioritize bodyweight movements).
  • Masks required for staff and clients at all times.
  • Instructor props open door at the end of class, and leaves open for future classes/patrons.

Personal Training Programming Adjustments

  • Personal Training Studio door will be propped open at all times when supervised.
  • Equipment will be wiped down before and after every use, and/or remind participants to wipe equipment when finished.
  • There will be no circuit training: all equipment kept in same area for duration of the workout, and equipment is thoroughly cleaned before moving on.
  • Direct supervisor will be alerted when supplies (wet wipes, spray disinfectant, paper towels) run low.
  • There will be no sharing of chalk buckets; individuals must bring their own chalk for personal use.
  • All clients and staff must maintain social distancing at all times.
  • Masks will be required for staff and clients at all times unless either is unable to wear a mask due to medical reasons.

Occupancy & Capacity

  • Capacity is based on current tier.
  • Users will not pre-reserve time-slots through Fusion as we will coordinate sessions with individual trainers.
  • Focused Training will not be offered at this time.
  • Trainers/staff will remind participants to practice social distancing and safe hygiene habits.
  • Fitness Programs FTE staff will periodically monitor Studio 112 to ensure protocols are followed.

Reopening Phases for Fitness

Stage 1A: First 1-2 Weeks

  • Avoid lifting gloves and other items that are not easily cleaned.
  • Clean all spaces every day at the end of day.

Stage 1B: Open-Air Fitness Introduced

  • Hand sanitizer made available before and after class.
  • Formats to be considered: Yoga, Mat Pilates (no props), Bodyweight Bootcamp.
  • 4 week classes, twice per week.
  • Social distancing - minimal 6-10 feet between participants (open-air environment).
  • Hand sanitizer made available before and after class.
  • Capacity: 10 minimum - 15 maximum.
  • Location: Roble Field or Cobb Track.
  • Staff will be supplied with a first aid kit and modified emergency action plan for remote activities (each individual trainer will be supplied with a kit, no sharing of kits).

Stage 1C: Personal Training Introduced

  • Verbal cueing only.
  • Limit number of people in the studio.
  • Clients may cancel with less than 24-hour notice without penalization if they are feeling sick.
  • Trainers to notify supervisor immediately to accurately report time.
  • Trainers to use studio over the main fitness center.
  • F45 studio can be used for private training.
  • Outdoor personal training - maintain social distancing and hygiene habits.
  • 48-hour advanced notice to supervisor of client name/date/time/location of outdoor session(s) planned.
  • Hand sanitizer made available before/after training.
  • Staff will be supplied with a first aid kit and modified emergency action plan for remote activities (each individual trainer will be supplied with a kit, no sharing of kits).

Emergency Management - PPE for Responders

Response Training

  • Staff will receive training in the changes to their level of response based on guidance from the American Red Cross.

Response To Emergency

  • Employees that are trained in CPR for the Professional Rescuer should use a BVM to provide resuscitation and follow additional guidelines as stated in American Red Cross’ Consideration for Aquatic Facilities and Lifeguarding, May 21, 2020.
